To whom it may concern:

Starting January there will be some major changes to imports which will be known as "Import Control System" with the customs authorities. This means that from January all shipments must be declared under ICS/ESUMA.

This ICS must be filed with customs latest 4 HOURS prior to arrival, which means that AFEX needs to have the pre-alerts including a complete set of paperwork (AWB, Invoice, Copy of Cert - 8130/EASA F1/CoC/CofA, as well as the respective accurate HS code) well in advance in order to avoid any late filing charges and customs fines.

If the above is not submitted in time, imports will be dealt with by customs on a non urgent basis and while there will be a 4 week transition period, we really want to avoid any potential delays.

All paperwork as mentioned above need to be complete.

As customs does not operate a 24 hour service, any shipments due to land before 10am need to be filed the day before otherwise customs won't be able to release.

The 8130/EASA F1/CoC/C of A must be part of the pre-alert and we have noticed that it is missing from time to time. When this happens a very costly and time consuming visual check needs to be performed which leads to delays.

Maybe you can ask your customers to ensure their suppliers do provide a copy of the certs upfront.
